Making up a password

When you are required to set a password the best practice is:

  1. think of three or more random objects or words
  2. connect them together in a phrase
  3. separate the words by punctuation marks

For instance “tree.sunny.icecream99” would make a good password based on a memorable weekend experience.

The longer the better, and make it something that you can remember easily so that you do not have to write it down!

Protecting passwords

You have a responsibility to protect the secrecy of any identifiers and security factors or passwords provided to you or set by you.
You must not store your username, password or any other security factor in any way that allows another person to access the information. Do NOT leave items with your username or password in a place or displayed in a manner that would allow another person, including other Company employees, to read them.

Using a password manager app

You may use a password manager if your manager has authorized its use or the Company has provided you with such an application.

FYI

The Company may reset your password, block or interrupt your access to the Company’s systems at any time without notice. If you are unable to access systems refer to your manager.

MFA

Access to certain functions, such a remote access or cloud-based systems, may require you to setup and use a separate Multi Factor Authorisation, or MFA. This may require you to install an application on your smartphone to provide the MFA, and if you do so you accept that the information provided by that application that allows access to any of the Company’s systems is also your responsibility to keep confidential.

Lost or stolen MFA/phone

If any device with an MFA on it is lost or stolen you must report the incident to management immediately.
